Business Portfolio & Verification

A Business Portfolio (Meta also calls this a Business Manager account or “Business”) is the container in Meta’s system that owns your WhatsApp Business Account (WABA), your phone numbers, your templates, your ad accounts, and your verified legal identity.

Business Verification is the legal-identity check Meta runs on a Portfolio. It is the single most important step for new senders — without it your number is permanently capped at 250 unique recipients per 24 hours.

Why this matters before you start sending

Three things are gated behind a verified Business Portfolio:

  • Your messaging-limit tier can only progress past 250/day after verification + a HIGH quality rating. Pre-verification you cannot send more than 250 recipients per day, even if you have a wallet full of credits and a 50,000-row contact list.
  • Green checkmark eligibility (the “Official Business Account” badge — used to be blue, now green) requires Business Verification plus separate approval.
  • Click-to-WhatsApp ads at scale and embedded signup as a partner both require a verified Portfolio.

If you only ever plan to handle inbound conversations and reply to customers who message you first, you can technically run unverified — but the moment you want to broadcast (newsletters, OTPs to your customer list, promotional templates), Business Verification is mandatory.

Step 1 — Locate or create your Business Portfolio

Open Meta Business Manager

Go to business.facebook.com and sign in with the same Facebook account that owns the WhatsApp number you connected to Vibot.

Check whether you already have a Portfolio

The top-left of the page shows your current Portfolio name. If it says “Personal” or shows your name only, you don’t have a Business Portfolio yet — Embedded Signup may have created one silently when you connected your number to Vibot. Click the dropdown to see the list.

Create a new Portfolio if needed

If you don’t have one, click Create a business portfolio. Provide:

  • Business name — your legal/registered business name (this is what will be checked against your verification documents).
  • Your name — the admin’s legal name.
  • Business email — a working business email, not a personal Gmail. Meta sends verification + policy notices here.

Click Submit.

The business name you enter here must match the name on the verification documents you’ll upload in Step 3. If it doesn’t, Meta will reject the verification.

Step 2 — Add your WhatsApp Business Account to the Portfolio

If you completed Embedded Signup through Vibot, your WABA is already attached to a Portfolio — usually the one above. Confirm:

Open Business Settings

In Business Manager, click the ⚙️ gear icon in the bottom-left, or go to Settings in the top-right menu. This opens the Business Settings panel.

Under Accounts in the left rail, click WhatsApp Accounts. You should see your WABA listed with its WABA ID.

Confirm phone number ownership

Click your WABA → Phone numbers. You should see the number you connected to Vibot, with status Connected. If it’s not here, Embedded Signup did not complete — return to Connect WhatsApp and retry.

Step 3 — Submit Business Verification

This is the part that takes most customers the longest because the documents need to match exactly.

Open the Security Center

In Business Settings → left rail → Security Center. The Security Center page is also reachable directly at business.facebook.com/settings/security.

Click Start verification (or Continue verification)

At the top, you’ll see your verification status:

  • Not started — show a Start verification button.
  • In review — Meta is reviewing your documents.
  • Verified — green check.
  • Rejected — you can resubmit after fixing the issue noted.

Click the button. A multi-step wizard opens.

Confirm your business details

Re-confirm legal business name, country, address, phone number, and business email. Every field must match your documents. If the business name on your incorporation certificate is “Acme Retail Private Limited”, you cannot type “Acme Retail” here.

Upload documents

Meta requires two pieces of evidence, one for legal name and one for address.

Accepted for legal name (any one):

  • Certificate of Incorporation
  • Business Registration Certificate
  • Tax registration certificate (in India: GST Certificate)
  • Business license issued by a government body

Accepted for address (any one):

  • Utility bill (electricity, water, gas, internet) dated within the last 90 days, in the business name
  • Bank statement in the business name, within the last 90 days
  • Business license, if it explicitly shows the address
  • Lease/rental agreement on official letterhead

Both documents must be in the same language as Meta’s business settings, must be a scanned PDF, JPG, or PNG (no photos of screens), and must show all four corners of the page.

Common rejection causes — these account for ~80% of first-attempt rejections:

  1. Business name on documents has a small typo or abbreviation (e.g. “Pvt. Ltd.” vs “Private Limited”) that differs from what you typed in the form.
  2. Document is older than 90 days (for utility bills + bank statements).
  3. Document is a photo of a paper printout, glare visible.
  4. Personal-name utility bill submitted for a business address.
  5. PAN card or Aadhaar submitted — Meta does not accept these as business identity documents in India.

Choose verification method

Meta will ask for a final confirmation step — usually a phone call, SMS, or email to a number/address on your documents. Pick whichever you can answer reliably; if you pick phone call, a Meta automated system calls within ~10 minutes with a code.

Submit and wait

Initial review is typically a few minutes to 2 business days for auto-approval, 5 to 14 business days for manual review if documents need human eyes. Meta does not send daily updates — refresh the Security Center to check status. They email when a decision is made.

Step 4 — After verification

Once status flips to Verified (green check):

  1. Your number’s tier eligibility unlocks but does not auto-jump. The actual scaling from 250 to 1,000/day happens once you also have a HIGH quality rating and Meta’s automated scaling logic ticks. See Messaging tiers for the full mechanics.
  2. Green checkmark application becomes possible. This is a separate request from your WhatsApp Manager → Phone numbers → Apply for green tick — Meta evaluates based on business prominence and additional criteria. Most SMBs do not get the green tick; that’s normal.
  3. Click-to-WhatsApp ads can be launched at higher daily-spend limits.

What if verification is rejected?

Click View reason on the Security Center page. The most common rejections and fixes:

  • “Business name doesn’t match documents” — re-enter the form with the exact name as printed on your documents, including punctuation. Use the longest legal form (e.g. “Acme Retail Private Limited”, not “Acme Retail Pvt Ltd”).
  • “Documents could not be verified” — typically a low-quality scan or expired/recent document. Rescan at 300dpi or higher, ensure all corners visible, ensure date < 90 days for utility/bank.
  • “Business is not eligible” — Meta has decided your business category is restricted (e.g. crypto, gambling, certain financial services, certain pharma). There is no remediation; you cannot use WhatsApp Business Platform for that business type.
  • “Already verified under another Business” — your documents are linked to an existing verified Portfolio. Either ask the owner of that Portfolio to grant you admin access, or contact Meta Business Support to request a transfer.

You can resubmit after a rejection. Meta does not impose a cooldown for legitimate resubmissions.
